The shape of the problem · 01

What this actually feels like.

  • 01The current policy is whichever Word file was emailed last, and three people have a copy named FINAL.
  • 02A rule changes, and nobody can say which paragraphs of which policies it touches.
  • 03Board approval lives in the meeting minutes, apart from the version that was actually approved.
  • 04Counsel redlines in Word, and someone retypes their changes into the master by hand.
How Zovos handles it · 02

Five steps, one graph.

Every step writes back to the same controls, policies, and issues your team already owns. There is no second source of truth.

  1. 01
    Draft
Write in Drafts, a collaborative editor with presence and comments. A citation rail keeps the obligations you are writing against next to the text, and fourteen policy templates give you a starting point.
  2. 02
    Cite
Attach the authority to each paragraph from Citations & Authorities, so every part of the policy traces to the rule behind it.
  3. 03
    Redline
When Reg updates flags a moved paragraph, the Drafter and Policy Mapping agents propose the redline as a draft. Suggesting mode records edits as tracked changes, so a reviewer sees exactly what was proposed.
  4. 04
    Review
Export to PDF, DOCX, or redline DOCX. Send for Word review sends the draft to counsel through your SharePoint connection and brings their tracked changes back as a review-pass version, with no silent merge.
  5. 05
    Approve
Sign-off is four-eye, with a native e-signature bound to the content of the approved version, and it is blocked while suggestions are unresolved. Policy-to-control sync keeps the policy aligned with the controls that implement it.
What changes · 03

What the product does instead.

Version of record
One draft history with comments, suggestions, and approvals replaces the folder of FINAL files.
Citations
Each paragraph can carry the rule it answers to.
Rule changes
Agents propose the redline when a cited rule moves. A person approves it.
Approval evidence
The e-signature is bound to the exact version that was approved.
